In my work guiding leaders through system transformations, I’ve found one truth: complexity kills momentum. The antidote? Systems designed around structure, simplicity, and ownership.

This blog introduces the six principles we use to transform scattered operations into well-oiled machines.

  • Willingness to audit and clean up current systems

  • Mindset: Clarity beats complexity

  • Commitment to assign ownership

The Steps to Implement

  1. Structure Everything Like a Database

“Scattered notes don’t scale. Systems do.”

  • Consolidate your tools into six interconnected databases: Priorities, People, Projects, Promotions, Playbooks, and Planning.

  • Use database relationships to guide workflows (e.g., connect your Customer Journey to Playbooks).

  • Result: clarity, consistency, and a scalable architecture.

  1. Minimize to Spot the Signal

“More data doesn’t mean better data.”

  • Filter views to show only what matters today.

  • Limit fields and records to reduce decision fatigue.

  • Result: streamlined focus and faster execution.

  1. Implement Radical Ownership

“If it’s not owned, it won’t get done.”

  • Ensure every record—every task, priority, project—has one and only one owner.

  • Run weekly audits to catch gaps.

  • Result: accountability, follow-through, and fewer dropped balls.

  • Centralize all key data in core databases.

  • Avoid redundant pages—link back, don’t duplicate.

  • Keep dashboards lean and actionable.

  • Add icons, cover images, and branded visuals.

  • Use gallery views to make content easier to navigate.

  • Result: increased adoption and team pride.
